Digital share ledger or Excel: what is the difference?
The difference between a dedicated digital share ledger and a spreadsheet is mainly how the work is organized. A spreadsheet is not inherently unlawful under Swedish law. Whichever tool a Swedish limited company uses, the ledger must meet the rules on content, updates, preservation and access in Chapter 5 of the Swedish Companies Act.
Practical differences
| Task | Manual spreadsheet | Dedicated tool |
|---|---|---|
| Ownership change | Entries need manual updates and checks. | The event can follow a structured workflow. |
| History | Previous versions need separate storage and organization. | Versions can be tied to recorded events. |
| Review | Evidence of who checked a change needs separate documentation. | Permissions and approvals can be part of the workflow. |
| Sharing | Files and copies need management. | Access can be controlled without circulating the working file. |
These are typical workflow differences, not a blanket guarantee about every tool. A well-maintained spreadsheet can work for a small company. As changes and participants increase, clear versioning and review procedures become more important.
Choose for your circumstances
First check what a Swedish share ledger must contain. If you choose a spreadsheet, you can start with our simple share-ledger template. Then assess how you preserve prior entries, who may change them and how you produce a current ledger when needed. Kvanta’s digital share ledger brings ownership events, approvals and historical versions together.
